Who we are

This website is operated by Nene Digital, a web design and development agency based in the United Kingdom. We build websites for parish and town councils. If you have any questions about this policy, contact us at info@nene-digital.co.uk.

What data we collect and why

When you submit a template request through this catalogue, we collect:

  • Name and email address - to identify you and respond to your request.
  • Any additional notes or files you upload - to understand your requirements.
  • Your template configuration choices - colours, fonts, and content you enter during customisation.
  • Hosting and retainer preferences - to quote and invoice accurately.
  • IP address and submission timestamp - recorded at the point of submission as a record of the terms you agreed to. This is retained for legal purposes in the event of a dispute.
  • Agreement acknowledgements - the exact wording of any terms you checked and agreed to (e.g. retainer standing order, code ownership), stored alongside your IP address and timestamp as an auditable record.

We do not collect this data for marketing purposes. It is used solely to process your request and maintain a record of agreed terms.

Legal basis for processing

Under UK GDPR, we process your personal data under the following bases:

  • Contract - processing your name and email is necessary to respond to and fulfil your template request.
  • Legitimate interests - recording your IP address, timestamp, and agreed terms is necessary to protect both parties in the event of a dispute over what was agreed.

How long we keep your data

Template request records (including name, email, configuration, and agreement logs) are retained for 6 years from the date of submission, in line with standard UK contract limitation periods. After this period, records are securely deleted.

If your request is not progressed (e.g. no response or no approval), data is deleted within 90 days of submission.

Who we share your data with

We do not sell or share your personal data with third parties for marketing. Your data may be processed by:

  • Cloudflare - this site uses Cloudflare Turnstile for bot protection on submission forms. Turnstile processes your browser environment to verify you are human, without tracking you across sites. See the Cloudflare Turnstile Privacy Addendum.
  • Vercel - this site is hosted on Vercel. Vercel processes request data (including IP addresses) as part of serving the site. See Vercel's Privacy Policy.
  • Resend - we use Resend to deliver notification emails internally. Your name and email are included in these emails. Resend does not use this data for any other purpose.

Cookies and local storage

This site does notuse cookies. Your customisation preferences (such as sidebar width and font size settings) are stored in your browser's localStorage and sessionStorage only - this data never leaves your device and is not accessible to us.

Image uploads made during customisation are stored temporarily in your browser's IndexedDB and are cleared when you submit or reset your configuration.

Your rights under UK GDPR

You have the right to:

  • Access - request a copy of the personal data we hold about you.
  • Rectification - ask us to correct inaccurate data.
  • Erasure - ask us to delete your data, subject to our legitimate interest in retaining agreement records.
  • Restriction - ask us to limit how we use your data.
  • Objection - object to processing based on legitimate interests.
  • Portability - request your data in a machine-readable format.

To exercise any of these rights, email us at info@nene-digital.co.uk. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page will reflect any changes. Continued use of this site after an update constitutes acceptance of the revised policy.
